Our Project Management Approach
Project Management Leadership & Execution
Playbook leads the day-to-day execution of the project, serving as the primary point of coordination between the owner, design team, contractor, authorities, and client vendors.
Services include:
- Overall project leadership and execution oversight
- Management of the Owner / Architect / Contractor (OAC) team
- Participation and leadership in OAC meetings
- Clear, consistent communication across all project stakeholders
Schedule Control & Risk Mitigation
We actively manage and monitor the project schedule to protect delivery and occupancy milestones.
Services include:
- Review, monitoring, and management of the master project schedule
- Coordination with the Construction Manager or General Contractor schedule
- Proactive identification of potential conflicts or delays
- Development and implementation of schedule recovery strategies when required
Budget, Cost & Change Management
Playbook manages project costs with a focus on transparency, cash flow control, and minimizing change exposure.
Services include:
- Ongoing review and management of the overall project budget
- Cash flow monitoring and forecasting
- Review of change requests and change orders for cost, scope, and acceptance
- Control and coordination of the change management process
- Review of client vendor invoices and applications for payment with payment recommendations
Team Coordination & Communication
Successful projects require aligned teams and timely decision-making. We facilitate communication across all parties to resolve issues efficiently.
Services include:
- Coordination between the design team, construction manager, AHJ inspectors, and client vendors
- Facilitation of issue resolution during construction
- Ensuring timely responses from client vendors on critical-path items
Document Control & Quality Management
We hold the team accountable for disciplined control over project documentation and monitor quality to ensure compliance with contract documents and client standards.
Services include:
- Manage construction document control with design consultant and construction manager to establish project tracking logs (RFIs, ASIs, CCDs, design clarifications, material submittals, change orders, etc.)
- Oversight of document logs and tracking systems
- Monitoring in-place work for quality, compliance, and adherence to contract requirements
Vendor, Compliance & Closeout Support
Playbook coordinates vendor scopes, inspections, and closeout activities to ensure a smooth path to project completion and occupancy.
Services include:
- Coordination of procurement, delivery, and installation of client vendor scope of work items
- Scheduling and coordination of all any required third-party inspections for client vendor scope of work items
- Support of any energy and sustainable project initiatives and documentation requirements, as applicable
- Preparation and submission of documentation required for tenant improvement (TI) reimbursement from landlords
