Pre-Occupancy Planning & Readiness

Playbook coordinates final activities to prepare the project for occupancy, aligning teams and schedules to meet move-in and operational deadlines.

Services include:

  • Pre-occupancy planning and coordination
  • Alignment of closeout activities with client move-in or operational requirements
  • Ongoing communication with contractors, vendors, and stakeholders

Punch List & Regulatory Closeout

We lead the completion of all remaining work and regulatory requirements to achieve final approvals and occupancy.

Services include:

  • Management and coordination of punch list completion for client vendors
  • Leadership of the construction manager / general contractor and vendors to complete all closeout items
  • Coordination of final inspections and approvals
  • Support in achieving Certificate of Occupancy (CO) or equivalent signoffs

Occupancy & Move Coordination

To ensure a smooth Day One experience, Playbook coordinates move-in and occupancy activities across all stakeholders.

Services include:

  • Coordination of relocation and move management for client personnel
  • Alignment of move-in activities with construction completion and approvals
  • Coordination of access, keying, and security requirements with the client and/or building landlord

Systems, Training & Documentation Turnover

We ensure ownership teams receive the information, training, and documentation needed to operate and maintain the space effectively.

Services include:

  • Coordination and procurement of commissioning consultants for testing of specialized systems and equipment
  • Review, collection, and turnover of all operation and maintenance manuals and warranties
  • Coordination of required training for client personnel on building systems and equipment

Financial & Contract Closeout

Playbook manages the financial closeout process to provide clarity, accuracy, and final resolution of project costs.

Services include:

  • Finalization of the project budget and financial reconciliation
  • Management of final change orders
  • Coordination of final lien waivers, releases, retainage, and final payments for client vendors

Lease Exit & Decommissioning Support

For tenant and relocation projects, we manage the closeout of existing spaces in compliance with lease requirements.

Services include:

  • Coordination and management of decommissioning existing lease space
  • Compliance with landlord lease completion and restoration requirements
  • Coordination with landlords to ensure proper turnover and acceptance
